FREEMAN PUBLIC LIBRARY
MEETING ROOM POLICY AND RENTAL PROCEDURE
AVAILABILITY: The Freeman Public Library Meeting Room is available for rental Monday through Sunday, 8:00 a.m. to 10:00 p.m. Please contact the Library Director at 605-925-7003 or in person at 322 S. Main Street during regular library hours to check room availability. The room is for instructional, informational, educational and non-profit business purposes. Thus bridal/baby showers, birthday, graduation and anniversary parties are not allowed. For profit events* are prohibited.
ABOUT THE ROOM:
The meeting room is approximately 350 square feet and seats 36 people without tables. Six tables and 36 chairs are available to allow flexibility in the room’s set-up configuration.
MAKING A RESERVATION:
RENTAL FEES:
Non-profit organizations/events: FREE.
* A for-profit event may include an event in which an entrance fee is charged; or where merchandise or services are offered for sale; or where business is solicited by a speaker or through literature available at the meeting.
RENTAL POLICIES:
Light refreshments (coffee, tea, cake, cookies, bag or box lunches) may be served in the meeting room. The renter will be responsible for all tableware, cleaning supplies as well as cleaning up the facility.
Decorations may not be affixed to walls, windows or doors.
Smoking is not allowed in the Library, and no alcoholic beverages are permitted on the premises.
The Library Board of Trustees and the City of Freeman are not responsible for accidents, injury or loss of individual property, which occurs during use of the meeting room.
It is the responsibility of the group using the meeting room to set up the room as needed and then following the conclusion of the meeting, return the room to original setup unless permission is given by the Library Director to leave it configured as it was used.
The renter using the room is responsible for its proper use and will be charged for damages. The renter may also be liable for:
1. Repair or replacement of equipment or facilities damaged during use.
2. Replacement of locks and keys, in the event the keys are not returned.
3. Additional expenses incurred by the City of Freeman to clean the room if it is not left in the same condition as found.
The Library Board of Trustees reserves the right to impose any additional rules or regulations, whether or not expressly provided herein, which may be in the best interest of the library and operation of its facilities. Any additional rules/regulations shall be binding to the client. The Library Board of Trustees reserves the right to deny the rental to anyone whose planned use of the space does not comply with these terms and conditions.
The Library Board of Trustees reserves the right to review this policy and make changes as it sees fit.

- All reservations — non-profit— require submission of a signed Freeman Public Library Meeting Room Application. The person signing the application must be present at the function and will be responsible for ensuring the room use policies and procedures are followed.
- Applicants must be 21 years of age or older.
- Reservation requests will be tentatively held for ten (10) business days from the date of the room use request. If the application has not been received during the ten (10) day tentative reservation period, the tentative reservation will be removed and the room made available to others.
